Port 03 · Microsoft 365 & Google Workspace
Move your email
without losing any
Mailboxes migrated with their folders, rules and calendars intact. DNS, SPF, DKIM and DMARC set correctly so your mail lands in inboxes instead of spam. MFA on before anything goes live.
The cutover
Nobody works a Saturday for this
Mail syncs in the background for days before we touch a DNS record. By the time the switch flips, every message is already on the other side.
Audit
Every mailbox, alias, shared folder, distribution list and forwarding rule you have — including the ones nobody remembers setting up.
Pre-sync
Mail copies across in the background while everyone keeps working in the old system. Nothing changes for staff yet.
Flip DNS
MX records change after hours. A final delta sync catches the last few hours of mail. Devices reconnect on their own.
Decommission
Old platform stays live and readable for a week. When you’re sure, we shut it down and stop the bill.
Which one
Microsoft 365 or Google Workspace
We sell and support both, so we’ve no reason to push you either way. Roughly: if your team lives in Excel and desktop Office, go Microsoft. If they live in a browser, go Google.
| Microsoft 365 | Google Workspace | |
|---|---|---|
| Desktop Office apps | Full Word, Excel, Outlook installed locally | Browser-based; desktop sync for Drive files only |
| Spreadsheet ceiling | Handles the heavy models and macros | Fine until the file gets large |
| Real-time collaboration | Good, and improving | Still the benchmark |
| Email client | Outlook, on desktop and mobile | Gmail; Outlook works but is second-class |
| Shared file storage | SharePoint and OneDrive | Shared Drives, simpler to reason about |
| Video meetings | Teams | Meet |
| Admin learning curve | Deeper, more knobs | Shallower, faster to hand over |
| Works with 3CX | User sync and presence | Contact sync and click-to-dial |
| Typical fit | Finance, professional services, anyone with legacy Office files | Field teams, retail, anyone already on Chromebooks |
The unglamorous part
The bits that go wrong when nobody checks
Most migrations we’re called in to rescue went fine on the mail and badly on everything around it. This is the list we work through every time.
- SPF, DKIM and DMARC published and passing
- Autodiscover pointed at the right place
- Shared and resource mailboxes recreated
- Calendars and delegate access preserved
- Distribution lists and aliases rebuilt
- MFA enforced before go-live, not after
- Scanners, tills and apps that send mail re-pointed
- Mobile devices reconnected on site
- Retention and legal hold configured
- Old platform readable for a week after
